Overview, Getting Started, Setup, and Process Flow Information for XOP
XOP offers you the ability to auto-email borrower score disclosures. Just think: no more printing hundreds of score disclosures daily, folding them, stuffing them into envelopes, printing address labels, and paying for postage. A simple email with the Score Disclosure/Notice to Home Loan Applicant attached can streamline your processes!
As long as the borrower and co-borrower email addresses are entered properly when placing the order, the email address is valid, and the order is placed through a supporting system (see below), you can expect to process disclosures more efficiently, and stay compliant with FACTA Risk-Based Pricing rules. If there is a problem or issue with the email being delivered, XOP is smart enough to automatically place the disclosure into your print queue so it will be printed with your next batch, so you will never miss sending out a disclosure.
Supporting Systems
Clients that order from either the Client side of XpertOnline, or LOS’s that have updated their systems to send us borrower/co-borrower email addresses, can utilize this feature. Ellie Mae Encompass is one of these supported systems, and will gather borrower/co-borrower email address information to send out disclosures.
We have reached out to a number of other LOS’s, but so far others like Calyx Point and Byte have not implemented the ability to pass borrower/co-borrower emails over to XpertOnline. Score disclosures from these systems will print like normal.
XOP Setup for Emailing Disclosures
Setting up the ability to email score disclosures is fast and easy. Follow these instructions.
1. Login to XOP, then go to the Setup | Clients menu option, and locate the client you want to enable.
2. Once found, move to the Setup tab, and find the Score Disclosure Mailing Fee section.
3. Below this option, there is an additional checkbox to Email when possible.
4. Check the Email when possible checkbox, then enter an email price and tax for both individual and joint options.
5. Save your changes.
From this point forward, whenever score disclosures are placed into the queue for printing/emailing, XOP will attempt to email as many score disclosures as possible – as long as an email address exists for the borrower/co-borrower on the original credit report request.
How it Works
When you enable the score disclosure emailing service for clients, XOP will automatically try and email every score disclosure notice that’s generated by all enabled clients.
As long as the borrower/co-borrower email address is entered on the order, and it’s a valid email address, you will be able to go to the Print Score Disclosures screen (File | Print Score Disclosures) and see how many disclosures are in your queue for printing and emailing.
You can then click either the Print/Email or the Generate Print Files/Email buttons.
- The Print/Email button will take all items in the print disclosures queue and send them to your printer. It will then attempt to email any disclosures that have a valid borrower/co-borrower email address. Those disclosure emails that are undeliverable will automatically be placed into the Print queue so they can be printed the next time you print disclosures.
- The Generate Print Files/Email will take all items in the print queue and generate hardcopy files to be saved and placed on your local computer for printing at a later date. It will then attempt to email any disclosures that have a valid borrower/co-borrower email address. Those disclosure emails that are undeliverable will automatically be placed into the Print queue so they can be printed the next time you print disclosures.
The borrower email will look like this, with the actual PDF copy of the Score Disclosure/Notice to Home Loan Applicant attached to the email.
Tracking and Managing Emailed Score Disclosures
Use the Score Disclosures management report to track both printed and emailed borrower score disclosures for auditing purposes.
To do this in XOP, go to File | Management Reports | Other Custom Reports | Score Disclosures menu option. Select the Date Range that you want to see data within, then either enter a Client ID (to see disclosures for a specific client) or leave the field blank (to see disclosures sent for all clients), and click the Run Report button.
The resulting report, shown below, will include the data you need to track and manage the score disclosures that were generated and sent via email or printed for postal mail.
If an email delivery was unsuccessful, there will be an indicator in the Notes column next to the email address that XOP attempted to send the disclosure to.
Any undeliverable score disclosure emails will automatically move into the Print queue, and will be printed and mailed out with the next batch of generated score disclosures.
