Navigating Your Way Around XOLX: The Main Dashboard

XOLX's Main Dashboard is the hub for tracking, reviewing, and managing your orders. This guide explains the overall functionality of how to interact with the dashboard.

Upon initial login, along the top you will see a Refresh button on the left side. On the right, you will see a Question Mark menu with access to additional training information and a Profile button where you can change your password.  

Hover over the menu to the left to access the Dashboard, Rolodex, Management Reports, Provider Settings, and Utilities

Your widgets will load with the most current data.

  • Search Orders  enter a Reference NumberSSN (can be last 4-digits)Applicant Name, or Client ID. Select the magnifying glass to the left to activate the search or Enter on your keyboard. Include Archived Files will comb through the database to search for any requests that have the 'Archived' status. To quickly remove any Search fields, select Clear Search. The Get Next icon (located at the top right) allows processors to find a file and assign it to themselves.   • Stats – processors cause this interactive widget to view Supplements or Files counts. Click each colored bar to change your Supplements or Files view to Assigned To Me, Assigned, i.e., to other people in your company, Unassigned, and Disputes. The correlating tab will be highlighted based on the dashboard view.

  • Items Completed – processors use this widget to see how many supplements they have completed in the last day, this current week, and month to date.


Below the widgets are your functionality tabs: Tab Edit (where you can alter the way your tabs are organized), Workflow (only available to Admins), Supplements, Recent Orders, Files, All Orders, and Search (if Search Orders has been utilized. These tabs can be edited to display in whatever order is preferable to the user.  


Tab Edit

The Tab Edit allows you to customize how your tabs are displayed on your dashboard. 

Drag a category from left to right or right to left, depending on how you want your tabs to be displayed. Once altered, the tabs on the dashboard will automatically be update. 


Workflow

The Workflow tab is where a majority of order assignments will occur, with Unassigned files defaulting to the top and Assigned files listed below. Each section will display the files fitting that criterion, so you can easily manage your order volume. The Workflow tab is only available to Administrator and Supervisor users.

The Workflow tab is separated into two sections: Unassigned and Assigned


UNASSIGNED

  • Unassigned files will pre-load with cap of 20 results. Should you have more than 20 Unassigned files, the additional files will be added upon scrolling. 


  • Click the double-paper icon to open the file into a new tab. This loads the file and allows you to open and work on multiple requests at the same time.

  • The flag here shows you the priority level of the file. You can hover over the flag to display what the color of the flag represents.
    1. Clear flag = Standard Priority
    2. Blue flag = Medium Priority
    3. Yellow flag = High Priority
    4. Orange flag = Rapid Rescore or TU Quick Check
    5. Red flag = Dispute

  • Click the blue gear icon at right to add or remove data from your Unassigned file list view.

  • Click on a column header to sort your Unassigned file list view.


  • You can click-and-drag the header to rearrange the column data order.


  • You can Assign the file to a user without ever leaving the Workflow tab or the Main Dashboard. Select Assign under the Assigned To column. A list of the top 10 users based on order volume will be displayed, listed alphabetically. Please note: if there is a user that is not in the top 10, you will need to utilize the Search User Name field to have the user available for assignment.

  • Use the + icon to assign the entire file to the designated user. This action will assign the file to the user, update the Workflow Stats widget, and update the Assigned section, all occurring simultaneously.

 

ASSIGNED

  • Assigned files will pre-load with a cap of 30 results. Should you have more than 30 Assigned files, the additional files will be added upon scrolling.


  • Click the double-paper icon to open the file into a new tab. This locks the file and allows you to open and work on multiple requests at the same time.

  • The flag here shows you the priority level of the file. You can hover over the flag to display what the color of the flag represents.
    1. Clear flag = Standard Priority
    2. Blue flag = Medium Priority
    3. Yellow flag = High Priority
    4. Orange flag = Rapid Rescore or TU Quick Check
    5. Red flag = Dispute

  • Click the blue gear icon at right to add or remove data from your Assigned file list view.

  • Click on a column header to sort your Assigned file list view.


  • You can click-and-drag the header to rearrange the column data order.

  • You can re-assign the file to a user without ever leaving the Workflow tab or the Main Dashboard. Select the name of the user under the Assigned To column. A list of the top 10 users based on order volume will be displayed, listed alphabetically. Please note: if there is a user that is not in the top 10, you will need to utilize the Search User Name field to have the user available for re-assignment.

  • Use the + icon to re-assign the entire file to the designated user. This action will assign the file to the new user.


Supplements

Your Supplements tab shows all outstanding supplements that are Assigned or Unassigned. Click any supplement listed here to open the request directly into that supplement with appended account info.  All non-Admin and Supervisor users will see the Supplements tab upon login.

  • Stats Widget: Use the Stats widget to toggle your desktop view between Supplements or Files. By default, Supplements will be enabled. You can view supplements assigned to you, to other processors, unassigned supplements you can take ownership of, and disputes. Click the orange section of each bar to only view Rapid Rescores or TU Quick Check requests.

  • Click the double-paper icon to open the file into a new tab. This locks the file and allows you to open and work on multiple requests at the same time.

  • Click the blue gear icon at right to add or remove data from your Supplements list view.
  • Click on a column header to sort your Supplements list view. This is helpful if you want to view all individual supplements on a particular reference number - just sort the list by Reference #.


  • On any column header, click-and-drag the header to rearrange the column data order.


Files

The Files tab adjusts the dashboard to display per overall file. Click any file listed here to open the request directly into that request. All non-Admin and Supervisor users will see the Files tab upon login.

  • Stats Widget: Use the Stats widget to toggle your desktop view between Supplements or Files. By selecting Files, you can view the files that are assigned to you, to other processors, unassigned files you can take ownership of, and disputes. Click the orange section of each bar to only view Rapid Rescores or TU Quick Check requests.

Recent Orders

The Recent Orders tab will list the 12 most recent orders the user has opened. By default, the list will display the order most recently accessed at the top to the least recently accessed at the bottom.  

  • Click the blue gear icon at right to add or remove data from your Recent Orders list view.
  • Click on and column header to sort your Recent Orders list view.

  • On any column header, click-and-drag the header to rearrange the column data order.


All Orders

The All Orders tab will display all orders that have been placed by clients under your CRA from most recent to oldest. 

  • Click the blue gear icon at right to add or remove data from your All Orders list view.
  • Click on and column header to sort your All Orders list view.


  • On any column header, click-and-drag the header to rearrange the column data order.


Utilizing the Search Orders widget will add a dynamic Search tab, listing the results of the search. Whenever a new search is performed, this tab will automatically update with the most recent search results.

Any matching results will be separated as Supplements and Orders. 

  • Click the blue gear icon at right to add or remove data from your Search list view.
  • Click on and column header to sort your Search list view.

  • On any column header, click-and-drag the header to rearrange the column data order.


You can close out the Search tab via the 'X' at any point to remove the Search tab. 


Important Note on File Locking
XOP and XOLX communicate with each other, so if an updater/processor has any file open in XOP, the file is locked and other users cannot access it from XOLX or XOP.  The same works the other way around: if an updater/processor has the file open in XOLX, the file is locked and other users cannot access it from XOLX or XOP. If another user has file locked the order you are viewing, an overlay will be presented where you will see the username of the individual initially in the file. You can choose from two options: Read Only or Override
