Administrators and Supervisors can use the Workflow tab to assign entire files, with Unassigned files defaulting to the top and Assigned files listed below. Please note, the Workflow tab is only available to those users that have been granted rights to the Workflow feature. Users that do not have Workflow rights will have the Workflow tab hidden, and will start their work from the Supplements tab. 


The Workflow tab displays entire files (it does not list out individual supplements) and is separated into two sections: Unassigned and Assigned. To view a quick list of individual supplements, move to the Supplements tab.


Unassigned Section

  • Unassigned files will cap at a total of 20. Should you have more than 20 Unassigned files, the additional files will be added upon scrolling. 


  • Click on a column header to sort your Unassigned file list view.


  • You can click-and-drag the header to rearrange the column data order.


  • Click the blue gear icon at the right to add or remove data from your Unassigned file list view.

  • Click the double-paper icon to open the file into a new tab. This loads the file and allows you to open and work on multiple requests at the same time.

  • The flag here shows you the priority level of the file. You can hover over the flag to display what the color of the flag represents.
    1. Clear flag = Standard Priority
    2. Blue flag = Medium Priority
    3. Yellow flag = High Priority
    4. Orange flag = Rapid Rescore or TU Quick Check
    5. Red flag = Dispute

  • You can Assign the entire file (including all supplements) to a user without ever leaving the Workflow tab or the Main Dashboard. In the Assigned To column, select Assign. A list of the top 10 users based on work assignment volume will be displayed, listed alphabetically. Please note: if the processor you are looking for is not in the top 10, utilize the Search User Name field to find that processor.

  • Click the + (plus sign) icon to assign the entire file to the designated user. This action will assign the file to the user, update the Workflow Stats widget, and update the Assigned section, all occurring simultaneously.

    The user that has been assigned the file will see the file in their Assigned To Me list when they access XOLX. They can click to open it and begin their work.

 

Assigned Section

  • Assigned files will cap at a total of 30. Should you have more than 30 Assigned files, the additional files will be added upon scrolling.

 

  • Click the double-paper icon to open the file into a new tab. This locks the file and allows you to open and work on multiple requests at the same time.


  • The flag here shows you the priority level of the file. You can hover over the flag to display what the color of the flag represents.

  • You can re-assign the file (and all supplements) to a user without ever leaving the Workflow tab or the Main Dashboard. Select the name of the user under the Assigned To column. A list of the top 10 users based on order volume will be displayed, listed alphabetically. Please note: if there is a user that is not in the top 10, you will need to utilize the Search User Name field to have the user available for re-assignment.

  • Use the + icon to re-assign the entire file to the designated user. This action will assign the file to the new user.

    The user that has been assigned the file will see the file in their Assigned To Me list when they access XOLX.  They can click to open it and begin their work.
