Requests that require manual work from updaters/processors working in a Provider company’s office often need to be printed back to the originating Subscriber/Client once they are updated and completed. This can be done from any of the opening tabs (Recently Opened, Workflow, or Search List tabs) or from the main Request Detail screen.
Content Includes:
Printing from the Opening Tabs
To print a request from any of the opening tabs, login to XOP. After a successful login, find the request on either the Recently Opened, the Workflow, or the Search List tab, right click on it, and choose the Print Request option.
When you right-click on a file on either the Recently Opened, the Workflow, or the Search List tab, the Print Request option will be the last option on the right-click menu.
The Print Request option will open the Print screen.
Printing from the main Request Detail Screen
This can easily be done while working on a request from the main Request Detail page, shown here.
The main Request Detail page can be opened from either the Recently Opened, the Search List, or the Workflow tab—a user can double click on a listed request or they can right click and choose the Open Request menu option.
When the main Request Detail screen opens, users can print the request back to the Subscriber/Client at any time—on the upper right side of this screen is an Actions section that contains many buttons. One of these is the Print button. This button and the associated screens are the primary focus of this document.
Before continuing, users must have working knowledge of outputs and their associated addons, destinations, and options. This is because, when manually printing or previewing a request, users need to choose an output (or a format that will contain the content of the credit report), and any addons (customization items that can be added to an output), destinations (where you want this output to be printed to), or options (advanced functionality for an output) that correspond to the chosen output. Keep in mind that not all outputs have addons, destinations, and options—one output might have only one destination and no addons or options, while another might have addons and destinations, but no options, etc.
Outputs and associated addons, destinations, and options, are defined in the XpertOnline.net documentation located at the following web address:
This is a secured site that will require a login and password which you should already have. Once this page opens, find the Setup Documentation section and click the XOL.net Outputs and AddOns/Destinations/Sort Orders/Options definitions link to download the document.
The Print Screen
When a user clicks the Print button from the main Request Detail page, the Print screen opens, shown here.
This screen is divided into four tabs, checkboxes, and an Actions section that contains function buttons. Additionally, each tab (Select Output tab, Options tab, Addons tab, and Destinations tab) contains its own set of buttons along the bottom of the tab that allow the user to perform certain functions specific to that tab.
Select Output Tab
The Select Output tab is the first tab that opens when a user clicks the Print button from the main Request Detail screen. This tab displays all outputs on the product—both Selected and Optional outputs—that can be added to this request when it is printed back to the Subscriber/Client. You can only select and print one output at a time.
Users can right-click in the Select Output tab to see four additional options, shown here.
- Send to Mailbox only—this option will submit the request to the originating client’s mailbox.
- Preview only—selecting this previews the request. It does not send the request anywhere.
- Send and Preview—this option sends the request to the client mailbox and opens it in front of the user for previewing.
- Print to Destination Override—selecting this option pops up a new window that allows users to control which user’s mailbox the request is sent back to, as well as to control which user name (the Attn: field) should be attached to the request in the report header. When a user selects the Print to Destination Override option, the screen shown here opens:
The Destination Override is a drop down list containing all of the names of users for the client company that currently have access to the client side XpertOnline.net. This is useful when you would like to print a report back to a client’s mailbox that did not originally order this request.
The Attn: Override field allows you to type a name into this field that will appear in the report header. You can type any name into this field—the name of the user does not necessarily have to have a valid login to XpertOnline.net. This is useful in situations where the name of the updater/processor who may have taken ownership of the request should not occur on the actual report.
For advanced users, there is an Advanced button at the bottom of the Select Output tab—users will note that this section will be open by default when you first enter the Print screen. This section at the bottom of the Select Output tab lists all previous outputs that have been sent to the originating Subscriber/Client. The date and time that the output was sent will be listed in the Date Created column. If you would like to reprint the exact output to the Subscriber/Client again, highlight the output that has already been sent and click the Next button. Users can expand/collapse this view by selecting the Advanced button.
If you would like to see all former verifications that were printed back to the Subscriber/Client, check the Show Verifications checkbox.
Users can also right click in the Advanced section for more menu options.
- Select the Preview option to preview the previously-printed request. This will not print the request anywhere—it only previews it.
- Since the Show Verifications checkbox is checked in this example, a check mark occurs next to the Show Verifications option in the right click menu; however, users can select this option to show all printed verifications as well. This menu option works the same as the checkbox. When selected, previously printed verifications will appear in this list. When de-selected, they will not appear in this list.
- The Leave Open menu option forces XOP to always leave the Print screen open when generating a new output, previewing an existing output, or sending an output to the user mailbox.
- When a user selects the Try to Remove from Mailbox option, XOP will find the request that was previously printed to the Subscriber/Client and, if it has not been opened by the originating client yet, remove it from this client’s mailbox. When a user selects the Try to Remove from Mailbox option, a message pops open telling the user if the request was removed or not.
To continue with printing a request back to the originating client, from the Select Output tab, highlight the output that you would like to use to print this request and click the Next button. This takes the user to the Options tab (users can also double click a selected output to move to the Options tab).
Options Tab
The Options tab will only contain information that can be added to the output you have selected (from the Select Output tab) if the selected output has options available. If the output that you selected has no options available, the Options tab will display text reflecting this information, as shown below. Users can then skip the Options tab completely and move on to the Addons tab.
However, if the selected output contains options, there will be some valuable options on this tab that can be added to the output when it is printed back to the client. Users who select an output that contains output options (PDF Lender Report/PDF Lender Supplement or HTML Lender Report/HTML Lender Supplement output, for example) have the option of selecting from a list of possible report headers that can be added to the credit report.
On the screen shown on the previous page, users can click the Report Header drop down list and choose from a list of headers that can be added to an output. The selected header will then appear at the top of the credit report, on the first page, just above the Applicant/Co-applicant information section of the report. For example, if a user selected to have the “This is a Final Report” print on the output, the top of the first page of the report might look like this (this is an example of the PDF Lender Report—see the area highlighted in red):
Users can choose from this list of possible headers to be added to the printed report:
- This is a Final Report
- This is a Supplemental Report
- This is a Pre-Qualifying Report
- This is a Final Report – Supplements to Follow
- This is a Pre-Qualifying Report – Supplements to Follow
- This is a Quality Control Report
At any time, users can return to the previous tab by clicking the Back button. Once a user is finished working on the Options tab, they should click the Next button at the bottom of this tab to move on to the Addons tab.
Addons Tab
The Addons tab contains any addons that are enabled as either Selected or Optional on the product. Addons are items that can be added or removed from the printed report—for example, users can have the bureau addresses print on the actual report by turning on the Print Bureau Addresses addon. The Addons tab here allows the user to enable or disable any addons that have been turned on for this product for the printed report.
For example, on the selected output (which is the PDF Lender Report as noted just below the four tabs) these addons are available to be added to this printed report. Any addons that read as Selected in the Selected column will activate on the printed report. Any addons that are blank in the Selected column will not be activated on the printed report. In the above graphic, all addons will activate on the printed report with the exception of the Hide History on Bankruptcy Trades addon.
Users can enable or disable any addon in this list by either double-clicking on a highlighted addon, or by highlighting an addon and pressing the space bar on the keyboard.
Once users have chosen to enable/disable any addons for this report, click the Next button at the bottom of this tab. At any time, users can return to the previous tab by clicking the Back button.
Destinations Tab
The Destinations tab controls where your report will be printed to. In almost all cases, you will want this report to be printed to the originating client’s mailbox—therefore, we strongly recommend that you have the Output to User Mailbox destination as Selected. Users can toggle the Selected value as on or off by double-clicking in the Selected column, or by highlighting a destination and pressing the space bar on the keyboard. When the Selected column is blank—when Selected is not displayed in this column—the destination is not turned on.
Additionally, users will see a few more buttons along the bottom of this tab.
- The Back button allows users to return to the previous tab.
- The Send to Mailbox button, when clicked, will send the report to the originating client’s mailbox. Once the request has been sent, you will receive a message confirming that the request was sent. Clicking OK here will close the Print screen.
- The Preview button will open a copy of the report without sending it to the client.
- The Send/Preview button will send the report to the originating client’s mailbox and open a copy of the report that was printed to the client mailbox in front of the user.
Email Checkboxes and Links
When viewing the Print screen, users may have the option to Send eMail to User and Send eMail to Client. These options will only be available if the user who ordered this request has an email address input into XOP, and if the client company has an email address input into XOP. This is a valuable feature that allows updaters/processors to send an email to the originating user or client company, informing them that their request has been printed back to their mailbox. In order for both of these checkboxes to be available to you, there are a few criteria that must be met:
- If both of these options are available, checking both checkboxes will generate two email windows at the time that the request is printed or previewed and the email addresses will automatically populate into the To: field on both email windows.
- If the user does not have an email address, only the Send eMail to Client checkbox will be available. Users can hover over either the checkbox or the linked email address to view the email address.
- If the Send eMail to User checkbox is not available and no email address appears when the user hovers their mouse over the Send eMail to Client checkbox/linked email address (see above graphic), no email addresses have been setup in XOP for either the originating user or the client company. Users need to go to the Setup | Client menu option, find the client company, and input an email address for either the client company, the user, or both.
Actions Buttons
The Actions buttons to the right offer basic functionality on each tab as you work through the Print screen. See the area highlighted in red below.
Users can click the Send to Mailbox to send the request to the originating client’s mailbox. When clicked, XOP will send the request to the mailbox and once the request has been sent, you will receive a message confirming that the request was sent. Clicking OK here will close the Print screen.
Users can also right-click on the Send to Mailbox button here for a few other options.
When a user selects the Print to Destination Override option, the screen shown on the following page opens:
The Destination Override is a drop down list containing all of the names of users for the client company that currently have access to the client side XpertOnline.net. This is useful when you would like to print a report back to a client’s mailbox that did not originally order this request.
The Attn: Override field allows you to type a name into this field that will appear in the report header. You can type any name into this field—the name of the user does not necessarily have to have a valid login to XpertOnline.net. This is useful in situations where the name of the updater/processor who may have taken ownership of the request should not occur on the actual report.
The Preview button included on the Actions section will open the request formatted with the chosen output, options, and addons in front of the user. This will not send the request to the user.
The Close button will close the Print screen and return you to the mail Request Detail screen, shown on the first page of this document.
